How to set up Microsoft multi-factor authentication (MFA) - Trafford staff only
About multi-factor authentication
Multi-factor authentication (MFA) is a security system that requires at least two separate, distinct forms of identification to access a website, network or application:
- The first is a password
- The other is a form of authentication that may confirm your identity through an app on your smartphone or a text message
We use Microsoft's multi-factor authentication at Trafford to prevent fraudsters from logging in as you, keeping both your identity and our data safe.
Whilst a fraudster could possibly discover your password, they are less likely to have access to both your password and your phone at the same time.
Installing the Microsoft Authenticator app on your phone
Follow the instructions on your mobile to complete the installation.
How to register for multi-factor authentication
If you have already logged into office.com, you will need to sign out.

Select “Sign in”.

Enter your user ID, then select “Next”.

If prompted, select “Work or school account”.

Enter your password and select “Sign in”.

When “More information required” message shows, select “Next”.
If the registration process should pop up at an inconvenient time you can select “skip for now” and complete later.

In the new window, select “Next” to start setting up Microsoft Authenticator.

On your mobile phone, open the Microsoft Authenticator app.
If prompted, select “Allow notifications”.

Select the + button in the top right corner of the screen.

Select “Add work or school account”.

At the prompt, select “Scan QR code”.

On your Trafford device, select “Next”.
On the next screen, you will see the QR code. The camera on your phone will launch automatically. Hold your phone up to the QR code. This will automatically add your account to the app.

After scanning the QR code, select “Next” on your Trafford device.

An approval request will now be sent to the app to test the MFA process.

When the notification appears on your phone, open it and select “Approve”.

When the message has been approved, select “Next” on your Trafford Device.

When the MFA is set up and successful, select “Done”.
If you are given the option to stay signed in, tick Don’t show this again and select “Yes”.
Login after MFA is installed
Once you have installed MFA on your device and set it up, you will only be prompted to use this when you need to login to office.com or any M365 app from a personal device, whether it is a laptop, desktop, tablet or phone. You will be prompted to respond to the MFA request to confirm your credentials.
